We are looking for a capable and commercially minded executive to manage our day-to-day commercial workflow—from purchasing and product costing to customer orders and delivery coordination. This is a hands-on role for someone who takes ownership, follows matters through to completion, and can coordinate confidently with suppliers, key retail customers, warehouse staff, and management.

Key Responsibilities

• Manage purchasing activities and liaise with local and overseas suppliers.

• Negotiate pricing, MOQ, lead times, payment terms and delivery schedules.

• Prepare Purchase Orders and follow up on production, shipment and delivery.

• Monitor stock levels and support replenishment planning.

• Handle supplier delays, shortages, quality issues and order discrepancies.

• Prepare product costings, selling prices and margin analysis.

• Coordinate customer accounts, including quotations, product listings and promotion submissions.

• Follow up on customer Purchase Orders, deliveries and outstanding matters.

• Prepare sales reports and analyse product and customer performance.

• Coordinate new-product launches with suppliers, customers, warehouse and operations.

• Maintain accurate purchasing, pricing and commercial records.

• Provide general administrative and operational support where required.

• Requirements

• Diploma or Degree in Business, Supply Chain, Procurement, Administration or a related field.

• Preferably 1–3 years of experience in purchasing, sales coordination, commercial operations, administration with ordering responsibilities, or a similar role.

• Candidates with strong administrative experience, good Excel skills and experience handling orders are welcome to apply.

• Strong numerical, communication, coordination and problem-solving skills.

• Detail-oriented, organised and able to manage multiple deadlines independently.

• Strong proficiency in Microsoft Excel or Google Sheets.

• Familiar with Purchase Orders, invoices, delivery notes, order processing and inventory processes.

• Experience in FMCG, wholesale, retail accounts, overseas sourcing or ERP systems is an advantage.

• Familiarity with AI tools such as ChatGPT and using AI to improve work efficiency is preferred.

• Accounting experience is not required.

• Proactive and willing to follow matters through to completion.

• Able to work independently in a fast-moving SME environment.
