Role Purpose:
- Ensuring that the facilities operations adhere to standard operating procedure, and always aligned with company best practise.
- Supporting the commercial and revenue performance of the facility through effective tenant management, prospecting, and receivables monitoring.
- Liaising with all contracted suppliers and service providers in regards to maintenance and upkeep of all facilities.
- Ensuring duties are completed accurately and delivered with high quality and in a timely manner.
Job Descriptions:
1. Tenant, Administrative & Commercial Management
- Assist in maintaining and updating the tenant/outlet database (retail, F&B, and other commercial operators) on a monthly basis, in both manual and digital formats.
- Serve as the primary liaison between Management and tenants/outlet operators on matters relating to maintenance, facility usage, operational requirements, and feedback.
- Draft and distribute official communications, including notices, memos, and circulars, to tenants/occupants.
- Maintain accurate and complete operational documentation, including inspection reports, service logs, tenancy records, utility records, and other relevant documents.
- Assist in the preparation, review, and renewal of Tenancy Agreements (TA) for retail, F&B, and other commercial tenants, in coordination with the leasing/commercial and legal teams.
- Coordinate and support prospect arrangements, including site visits, viewings, and meetings with prospective tenants or retailers, to support new leasing opportunities.
- Monitor unit/lot allocation and occupancy status for invoicing and reporting purposes, and provide operational input on lease renewals and rental rate reviews.
- Monitor and track rental and other receivables aging; prepare monthly aging reports and escalate overdue accounts to HOD and Finance for follow-up and recovery action.
- Prepare and submit monthly reports to HOD covering tenant matters and occupancy.
2. Utility Management & Billing Coordination
- Coordinate the recording and tracking of utility meter readings (electricity, water, etc.) for all tenants/outlets, with support from FM, and ensure timely submission to Finance before the billing cut-off date.
- Ensure the accuracy and timeliness of rental and utility-related information and documentation in accordance with Tenancy Agreement (TA) and applicable billing requirements.
- Coordinate with Finance on rental and utility billing, collection, and aging, and follow up with tenants on outstanding amounts as required.
- Provide monthly rental and utility billing, collection, and aging status reports to HOD.
3. Facility, Safety & Security Operations
- Assist in coordinating preventive maintenance, facility improvement, and maintenance requests with FM team and relevant departments, including tracking and follow-up of MRFs and work completion.
- Liaise with FM team on maintenance matters and coordinate with relevant vendors/contractors as required, including HVAC, plumbing, electrical, sanitation, and F&B-related services.
- Coordinate tenant fit-out and renovation activities with HSE, FM, and other relevant departments to ensure compliance with operational, safety, and facility requirements.
- Coordinate with HSE on safety inspections, fire safety checks, emergency drills, safety risks, incidents, and follow-up on corrective actions.
- Monitor vendor and contractor compliance with safety requirements, permits, and internal protocols, and support the monitoring of on-site activities.
- Record and escalate maintenance, safety, incident, and near-miss matters to HOD and relevant departments, and maintain the required records and reports.
4. Facility Enhancement & Improvement
- Prepare supporting documents, memos, and proposals for facility upgrades, enhancement works, process and operational improvements.
- Consolidate feedback from tenants and stakeholders to identify improvement areas and recommend cost-effective and sustainable improvements for facility and common areas.
5. General & Ad-Hoc Responsibilities
- Assist during internal and external audits to support departmental compliance.
- Provide ad-hoc operational support as required, with prior approval from HOD, except in emergency or crisis situations.
- Perform other responsibilities or tasks as assigned by the superior to support departmental goals and operational efficiency.
Requirements
- Diploma or Degree in Business Administration / Facilities Management / Property Management or other related fields.
- Understanding of building systems, maintenance procedures, and safety regulations.
- At least 4–6 years of experience in facilities, building maintenance or engineering operations, with at least 2 years in a supervisory role.
- Experience in dealing and managing suppliers, vendors and contractors.
- Good written and spoken Bahasa Malaysia and English.
- Possess good problem-solving skills and ability to handle operational issues effectively.
- Has sense of urgency, organised and attention to details.
- A self-starter as well as a team player.
- Pleasant personality and customer service oriented.
- Ability to work in a fast-paced operational environment.
