About the Job
- Location: KL Eco City
- Contract Duration: 12 Months Contract
- Working Hours: Monday to Friday, 9:00 AM – 6:00 PM (Hybrid)
- Salary: Up to RM5,500 per month (Based on experience)
Job Responsibilities
Operational Excellence
- Ensure the accuracy, quality, and integrity of Payroll and HR data across all related processes.
- Receive, review, process, and follow up on personnel administration requests through various service channels, ensuring timely and accurate execution within internal and external processing workflows.
- Manage end-to-end employee termination processes, including leave encashment calculations, documentation verification, letter preparation, system updates, final payment calculations, and exit clearance activities.
- Administer time and attendance processes, including manual calculations for allowances and deductions, maintenance of work schedules, leave records, overtime, and shift adjustments.
- Support payroll administration activities, including payroll input preparation, employee subsidies, fleet administration, long service awards, and other related employee programs.
- Support salary review exercises through employee data preparation, salary adjustment processing, and generation of salary revision letters.
- Manage local labor administration activities and statutory HR reporting requirements, ensuring timely and compliant submissions in accordance with regulatory guidelines.
- Prepare country-specific and customized reports to support recurring and ad hoc business requirements that are not available through standard reporting tools.
- Collaborate closely with internal stakeholders and external service providers to ensure service requests are completed accurately and within agreed service timelines.
Service Engagement
- Provide advisory support and guidance on employee enquiries, HR policies and procedures, HR systems, and employment legislation-related matters.
- Monitor and manage service requests to ensure delivery aligns with established SLA and KPI standards.
- Conduct research on local HR trends, legislative updates, and regulatory guidelines to maintain accurate and up-to-date knowledge resources.
- Investigate, analyze, and resolve operational issues and enquiries in partnership with Country HR and Regional HR Business Partners, escalating unresolved matters through the appropriate channels when required.
Process Improvement & Digitalization
- Continuously review, maintain, and update process documentation and knowledge materials related to Payroll and People Data operations.
- Identify opportunities for process enhancement, automation, and digitalization, while supporting the implementation of initiatives that improve operational effectiveness.
- Drive continuous improvement initiatives aimed at enhancing employee and stakeholder service experience.
- Identify process gaps and deviations, support business requirement gathering, participate in User Acceptance Testing (UAT), and follow up on system enhancements and issue resolution activities.
Team Collaboration
- Perform responsibilities with moderate supervision while adhering to established procedures, policies, and best practices.
- Foster a collaborative and knowledge-sharing culture by contributing expertise, supporting onboarding and orientation activities, and serving as a buddy for new team members.
Job Requirements
- Bachelor's Degree in Accounting, Mathematics, Commerce, Business Administration, Finance, or a related field.
- Minimum 2 years of experience in Payroll and HR Operations.
- Practical experience in HR processes, policies, procedures, and statutory compliance requirements.
- System Requirement: SAP experience is mandatory and essential for this role
- Good proficiency in the language and cultural practices of the supported country/location.
- Sound understanding of HR principles and/or employment legislation relevant to the supported country/location.
- Strong analytical and processing skills, with a keen aptitude for mathematics, finance, and problem-solving.
- Customer-focused and service-oriented, with excellent interpersonal and communication skills.
- Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint
