Job Summary

We are looking for an organised and proactive Operations Coordinator to support our day-to-day operations in the medical/aesthetic industry. This role will coordinate order fulfilment, inventory, warehouse activities, logistics, machine movement, deliveries and after-sales service, while ensuring all operational records are properly maintained.

The ideal candidate is hands-on, detail-oriented and comfortable coordinating across internal teams, customers, logistics providers and service engineers.

Key Responsibilities

• Coordinate daily operational activities, including order processing, stock preparation, delivery and order fulfilment.

• Coordinate warehouse and inventory activities, ensuring stock is properly received, stored, labelled and recorded.

• Maintain accurate records of stock and machine movements, including incoming, outgoing, demo, repair and new units.

• Coordinate local and outstation deliveries, collections and logistics arrangements.

• Liaise with customers/clinics to coordinate machine delivery, installation, servicing and collection.

• Coordinate with engineers on machine breakdowns, repairs, installations and Preventive Planned Maintenance (PPM).

• Monitor outstanding service cases and follow up until completion and proper closure.

• Maintain operational trackers, schedules and system records to ensure information is accurate and up to date.

• Ensure proper documentation is maintained for all incoming and outgoing machines, products and spare parts.

• Coordinate with Sales, Finance, Regulatory, Engineers and other departments to ensure smooth daily operations.

• Prepare operational reports and updates for management when required.

• Perform other operations-related duties assigned by management.

Requirements

• 1–3 years of experience in operations, logistics, warehouse, customer service coordination or a similar role is preferred.

• Experience in the medical device, healthcare, pharmaceutical or aesthetic industry would be an advantage.

• Good organisational and coordination skills with strong attention to detail.

• Able to manage multiple tasks and follow up independently.

• Comfortable communicating with customers, suppliers, logistics providers and internal teams.

• Proficient in Microsoft Excel and Microsoft Office; experience with inventory/accounting systems such as AutoCount is an advantage.

• Good written and verbal communication skills in English and Bahasa Malaysia.
