Job Responsibilities:

Manage and process purchase requisitions received from various departments and ensure that required goods and services are procured within the required timeframe.

Source, evaluate and compare suppliers based on pricing, product quality, reliability, availability and delivery performance.

Obtain and evaluate quotations and negotiate with suppliers where appropriate to achieve competitive pricing and favourable purchasing terms.

Prepare and issue purchase orders based on approved purchase requisitions and ensure that the required authorization is obtained before any purchase is committed.

Ensure all purchases comply with the Company's approved procurement procedures, purchasing limits, budget and authority matrix.

Coordinate with suppliers to ensure timely delivery of goods and services according to the agreed specifications and delivery schedules.

Verify delivered goods against the relevant Purchase Order (PO), Delivery Order (DO) and approved requisition, including quantity, specifications and condition of items received.

Coordinate closely with the Receiving Team, Kitchen and Operations to ensure proper inspection and acceptance of delivered goods.

Follow up with suppliers on shortages, incorrect items, damaged goods, quality issues, delayed deliveries and other discrepancies.

Maintain complete and accurate purchasing documentation, including purchase requisitions, quotations, purchase orders, delivery orders, invoices and related correspondence.

Ensure proper PO, DO and invoice matching before documents are submitted to Finance for payment processing.

Monitor purchasing expenditure and support Management in maintaining effective cost control and identifying opportunities for cost savings.

Maintain and regularly update the Company's supplier database, including supplier contact details, pricing information, product availability and performance records.

Monitor supplier performance and recommend alternative suppliers where necessary based on price, quality, reliability or service level.

Liaise and negotiate with suppliers regarding pricing, payment terms, delivery schedules, product specifications and quality concerns.

Ensure proper documentation and approval are obtained for urgent or exceptional purchases in accordance with Company policy.

Assist in monitoring frequently purchased items and support appropriate purchasing planning to prevent shortages or unnecessary overstocking.

Work closely with Finance, Kitchen, Operations and other departments to ensure uninterrupted supply of goods required for daily restaurant operations.

Support internal and external audits by providing complete and accurate procurement records and supporting documentation when required.

Identify procurement risks, discrepancies or irregularities and promptly report them to Management.

Maintain confidentiality of supplier pricing, commercial terms and other procurement-related information.

Ensure all purchasing activities are conducted professionally, ethically and in the best interest of the Company.

Perform any other duties as assigned by Management that are aligned with the responsibilities of the position.

Job Requirements:

Diploma or Bachelor's Degree in Purchasing, Procurement, Supply Chain, Business Administration or a related field.

Minimum 2–4 years of relevant purchasing/procurement experience, preferably in F&B, restaurant, hospitality or retail.

Strong negotiation, communication and coordination skills.

Good numerical and analytical skills with strong attention to detail.

Proficient in Microsoft Office, particularly Excel, and familiar with purchasing or accounting systems.

Able to manage multiple purchase requests and work effectively in a fast-paced environment.

Strong sense of responsibility, integrity and cost awareness.

Knowledge of restaurant ingredients, equipment and operational supplies will be an advantage.

Pay: RM3,200.00 - RM3,800.00 per month
