• To support annual administration processes for variable, pay and relevant schemes
• To maintain and update Handbook
This includes making sure all changes to terms and
conditions are reflected in the handbook and is communicated to employees on a timely
manner
• To support development of proposals on changes of terms and conditions
This include
gathering market information, running analysis, having discussions with line manager (if
required), HR , Finance and other stakeholders
• To ensure that all compensation and benefits guidelines are up to date and compliant
• To develop new guideline as and when required to address any new terms and condition
which is not covered in the handbook
• To coordinate and execute compensation and benefits initiatives for employees
This include
organization and implementation of long service award and other employee related
activities
• To be close to market to identify changes in personnel tax treatments on terms and
conditions
• To initiate discussions and meeting to discuss and address tax changes impacting terms and
conditions
• To work on adhoc projects related to compensations and benefits as and when required
• To support on collation of information related to compensation and benefits based on
request from tender team
• To ensure accuracy and compliance have been adhered to all processes for Country/Region
• To support any internal or external audit processes as and when required
Global Mobility Malaysia
• To be the local focal point for line managers/P&O to understand business requirements on
global mobility matters in relation for Malaysia
• To share and coordinate all business requirements in relation to global mobility with CBAT
(Cross Border Assignment Team) for their advice and next steps
• Immigration - To work closely with Global Mobility Immigration Vendor and be accountable
on the following processes:
- Work permit renewals and other immigration requirements
- To ensure all work permit and PVP copies are achived in SAP and maintained in Global
Mobility Folder
- To ensure all new PVP requests are notified to Tax agent for tax compliance process
- To ensure all requests are raised to vendor portal with complete information including cost
centre to ensure effective invoicing processes
- To plan, coordinate with Vendor /other immigration agents and project managers/line
managers to understand proactively business needs in terms of mobilization of
employees to perform work
in Sabah, Sarawak and Labuan to ensure quick and timely mobilization to support
project needs
- To work with Global Mobility vendor to create and raise awareness on Malaysian
and other countries (if applicable) immigration process and provide regular
updates/share reminder memos on compliance
• Business Travel/ Short Work Travel
- To coordinate information and letter to business travellers for visa processes
- To work with Group tax and PIC on short work travel to assess requirements to
ensure compliance
- To maintain tracker on short work travellers and monitor
- Issue letters to employees where applicable to raise awareness on impact to employee
and safeguard company in terms of compliance requirements
• Mobilization and Demobilization Process
- To work with CBAT, Global Mobility vendor, Cognizant and Finance to ensure all requirements
are adhered to
- To lead and support monthly GM payroll compliance discussions with payroll vendor
and CBAT
- Review Vendor progress in mobilization of demobilization activities of inbound and
outbound assignees
- To ensure that all documents including work permit, tax filling documents and other related
documents are archived in SAP and physical file (if any)
- To ensure that all payments due to vendors are made on time and ensure all housing/
school deposit recovery process is maintained effectively
- To coordinate and complete tenancy agreement processes and payment
This includes
liaising with CBAT and local legal on any terms related to changes in tenancy
agreement etc
- To work with line managers to get feedback on renewal of contract end dates for foreign
employees both direct hire and IAAs
- Thereafter based on contract renewal status advise next steps to Global Mobility vendor and
CBAT
- To participate in pre-departure and demobilization meetings with CBAT
- To work with CBAT on any roll-out of global initiatives
- To have regular contact with CBAT on any local challenges in relation global mobility ,
processes and LAWI
• To raise, support and drive continuous improvement initiatives for the department
• To govern and ensure all information is managed with integrity and adherence to compliance
requirement and data protection
• To ensure all process are managed effectively following the guideline and processes

Qualification, Experience, knowledge and Abilities:
Qualification and experience
• Minimum a degree or its equivalent and
• Minimum 5 years of relevant experience in HR field
Knowledge and abilities
• Sound analytical, interpersonal and persuasive skills
• Ability to demonstrate organised, pro-active and planned approach
• Strong written and oral communication skills
• Intermediate excel, power point and word skills
• Ability to deal with sensitive and highly confidential information
• Comfortable with maintaining and developing relationships across different stakeholders
