Job Purpose:
1. To provide comprehensive administrative and financial support to the organization, ensuring
efficient operations and compliance with financial regulations.
Key Responsibilities:
Administrative Duties:
1. Office Management: Oversee daily office operations, manage office supplies, and maintain
office equipment.
2. Documentation: Prepare and manage official documents, correspondence, and reports to
support business operations.
3. Scheduling and Meetings: Arrange meetings, manage calendars, and provide necessary
logistical support for staff and external partners.
4. Communications: Serve as a point of contact for internal and external stakeholders,
managing incoming calls and correspondence.
Financial Duties:
1. Proposal and Invoice: Prepare and issue proposal, invoice and other documents to client.
2. Follow-up with client for the status of project.
3. Accounting and Bookkeeping: Maintain accurate books, including ledgers, journals, receipts,
and invoices.
4. Budgeting: Assist in the preparation of annual budgets, monitor expenditures, and report
variances.
5. Financial Reporting: Prepare monthly, quarterly, and annual financial reports for review by
management.
6. Audit Support: Coordinate with auditors to facilitate the auditing process, ensuring
adherence to financial laws and regulations.
Compliance:
1. Regulatory Compliance: Stay updated with financial regulations and ensure the organization
complies with statutory legislation.
2. Policy Enforcement: Implement and monitor the organization's internal policies relating to
finance and administration.
Skills and Qualifications:
1. Diploma in Business Administration, Finance, Accounting, or a related field.
2. Proven experience in an administrative and financial role.
3. Strong organizational and time management skills.
4. Proficiency in financial software and Microsoft Office Suite.
5. Excellent communication and interpersonal skills.
6. Ability to work independently and as part of a team.
