About the Role:
We are looking for an experienced Airfreight Cross Trade Executive to manage end-to-end shipment coordination and ensure smooth, timely, and efficient handling of cross-trade shipments.
You’ll work closely with customers, overseas offices, agents, customs partners, and internal teams to coordinate shipments, monitor freight movements, manage documentation, and resolve any issues that arise along the way.
The role also involves ensuring accurate rates and charges, maintaining shipment profitability, following customer SOPs, and completing job files within the required timelines.
Key responsibilities:
Coordinate with overseas offices, agents, customers, and other relevant parties to ensure smooth shipment handling.
Respond promptly to customer enquiries via phone and email.
Prioritise shipments based on urgency and customer requirements.
Manage shipments accurately and efficiently while handling different customer requirements.
Monitor shipment status closely and provide timely updates on flights, vessels, and freight movements.
Review AWB, BL, and other shipping documents to ensure accuracy and compliance.
Identify and follow up on documentation discrepancies with customers and overseas agents.
Ensure buying and selling rates are accurate, valid, and correctly applied to maintain shipment profitability.
Obtain the necessary Sales approval for any commercial decisions that may result in a negative shipment margin.
Review and confirm draft debit notes from overseas counterparts and suppliers.
Ensure customer quotations and agreed rates are correctly applied to shipments.
Follow customer SOPs and specific shipment handling requirements to ensure compliance and customer satisfaction.
Obtain the required approval for charges from customers or overseas agents before shipment delivery.
Ensure import customs formalities are completed within the required timelines and follow up with customs agents where necessary.
Monitor import permits and ensure they are properly utilised or cancelled before expiry.
Complete monthly job file closing and ensure all files are closed within the required KPI.
Review warehouse inventory lists and take appropriate action on unattended cargo.
Investigate shipment incidents, discrepancies, and service failures, and coordinate appropriate recovery actions.
Manage recovery for shipments arriving at the warehouse with discrepancies where no terminal survey was conducted.
Support internal procedures and initiatives that improve productivity, transparency, and service quality.
Maintain compliance with applicable Health, Safety and Environmental requirements.
Perform other ad-hoc duties as assigned by the Supervisor or Manager.
What We’re Looking For:
Experience in airfreight, cross-trade, freight forwarding, or logistics operations.
Strong knowledge of shipping documentation, customs procedures, and shipment coordination.
Good communication and customer service skills.
Strong attention to detail with the ability to manage multiple shipments and deadlines.
Commercial awareness, including understanding of freight rates, margins, and shipment profitability.
Ability to work independently while coordinating effectively with customers, overseas offices, agents, and internal teams.
