Role Overview

We are seeking a detail-oriented Enterprise Sourcing and Procurement Administrator to support day-to-day sourcing and procurement operations. The role coordinates contracts and supplier records, supports purchasing and invoice workflows, tracks renewals, and keeps procurement data accurate across internal systems. You will work with internal stakeholders and external vendors to ensure requests are handled promptly, documented properly, and in line with company processes.

Key Responsibilities
  • Contracts and documentation: Assist with preparing, reviewing, routing, signing and filing contracts, non-disclosure agreements (NDAs), purchase orders and related documents through wet-ink or electronic-signature processes. Track approvals and follow up on outstanding actions.
  • Purchasing support: Provide end-to-end administrative support for low-value purchases, including collecting requirements, obtaining or recording quotations where required, raising or tracking purchase requests and purchase orders, and confirming completion with requesters.
  • Subscriptions and user administration: Independently manage straightforward subscriptions and routine account changes. Liaise with vendors to add, remove or transfer user access and maintain accurate records of changes.
  • Vendor coordination: Maintain vendor details and procurement records, communicate with suppliers on documentation, invoices, renewals and routine queries, and escalate service, pricing or compliance issues when needed.
  • Invoice processing: Check invoices against relevant purchase or contract records, route them for approval, update status trackers and follow up on discrepancies or missing information.
  • Renewal management: Maintain a forward-looking tracker of contract and subscription expiry dates, notify stakeholders of upcoming renewals, coordinate required reviews and documentation, and track each renewal through completion.
  • System and data management: Enter and maintain complete, accurate procurement activity in relevant systems such as INFOMatch, SAP or Coupa. Check data for consistency across records and resolve routine discrepancies.
  • Reporting: Prepare regular procurement reports and ad hoc summaries on purchasing activity, invoices, contracts, renewals, vendors and other operational measures for internal stakeholders.
  • Record keeping and compliance: Maintain orderly, retrievable procurement documentation and follow internal record-retention, approval and procurement procedures.
  • Stakeholder and user support: Coordinate interviews and meetings when required, respond to simple end-user queries, and provide general administrative support for sourcing, operations and procurement projects.
  • Other duties: Take on related administrative responsibilities assigned by the manager to support the effective running of procurement operations.
What Success Looks Like
  • Contracts, purchase orders, invoices and vendor records are complete, accurate and easy to retrieve.
  • Routine purchases and subscription changes are processed efficiently, with stakeholders kept informed.
  • Upcoming expiries and renewals are identified early and followed through without avoidable lapses.
  • Procurement data and reports are timely, consistent and useful to internal stakeholders.
  • Routine requests are handled independently, while exceptions are escalated promptly with the relevant context.
Requirements
  • Diploma or degree in Business Administration, Finance, Information Systems or a related discipline.
  • One to three years of experience in an administrative, procurement, sourcing, vendor-management or operations-support role.
  • Basic understanding of purchasing, procurement documentation, invoice workflows and vendor management; willingness to learn the organisation’s procurement processes.
  • Proficiency in Microsoft Office, especially Excel, Outlook and Word. Experience with procurement platforms such as INFOMatch, SAP or Coupa is an advantage.
  • Strong organisational and time-management skills, with the ability to manage several requests and deadlines concurrently.
  • High attention to detail and accuracy when handling contracts, invoices, supplier information and system records.
  • Clear written and verbal communication skills, with a professional and service-oriented approach to internal and external stakeholders.
  • Ability to work independently on routine tasks, exercise good judgement on priorities and escalate exceptions appropriately.
  • Discretion when handling confidential commercial, supplier and employee information.
