Role overview
We are looking for an organised, proactive Admin Assistant to keep our office running smoothly. You will look after the workplace, managesupplies, support company activities and handle day-to-day administrative workso the team can focus on theirs.
Key responsibilities
1. Office maintenance
- Keep the office, meeting rooms and common areas clean,tidy and presentable
- Report and follow up on repairs and faults (air-con,lighting, plumbing, furniture, IT equipment such as printers)
- Liaise with the building management, cleaners andmaintenance contractors
- Coordinate servicing of office equipment and trackservice contracts
2. Office stationery and pantry ordering
- Monitor stock levels and reorder stationery, printingsupplies and pantry items
- Receive deliveries, check them against orders and keepan inventory record
- Keep the pantry stocked, organised and hygienic
3. Company activities coordination
- Help plan and run company events: team bonding, festivecelebrations, town halls and birthdays
- Source venues, caterers and vendors, and obtainquotations
- Handle logistics: bookings, invitations, RSVPs,materials and on-the-day setup
- Coordinate company gifts, corporate cards and festivedecorations
4. General administration
Front desk andcorrespondence
- Answer and direct phone calls and general emailenquiries
- Receive, sort and distribute mail and courier parcels;arrange outgoing deliveries
Scheduling andbookings
- Manage meeting room bookings and set up rooms formeetings
- Support calendar scheduling for managers when needed
- Arrange business travel: flights, hotels, transport andvisa documents
5. Ad-hoc assignments
- Support management and teams with other tasks andprojects as assigned
Requirements
- Diploma or equivalent; a qualification in BusinessAdministration or related
- At least 1–2 years of experience in an administrativeor office support role (fresh graduates are welcome to apply)
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Highly organised, with strong attention to detail andthe ability to juggle several tasks
- Proactive, resourceful and comfortable workingindependently
- Service-oriented team player who is willing to roll uptheir sleeves
- Experience in event coordination or vendor managementis an advantage
