Job Opportunity – Site Lead (Assistant Facilities Manager)
Role Overview
We are seeking a proactive, meticulous and independent Assistant Facilities Manager (Site Lead) to oversee the facilities management operations of a single facility.
The successful candidate will lead a small onsite team and take ownership of daily operations, maintenance activities, vendor management, project execution, financial administration and stakeholder engagement.
The role requires someone who is well-organised, hands-on and comfortable managing both operational and administrative responsibilities independently.
Key Responsibilities
1. Facilities Management & Operations
- Oversee daily facilities operations, encompassing both hard and soft FM services.
- Coordinate preventive and corrective maintenance activities to ensure operational reliability.
- Supervise onsite technicians, contractors and service providers.
- Ensure compliance with statutory requirements, workplace safety standards and operational procedures.
- Conduct regular site inspections, identify deficiencies and implement corrective actions.
- Respond promptly to operational issues and ensure timely resolution.
2. Stakeholder & Vendor Management
- Act as the primary point of contact for all site-related facilities matters.
- Liaise with various internal stakeholders, including Marketing, Operations and other business departments.
- Source, evaluate and recommend suitable vendors and service providers for maintenance, repairs and improvement works.
- Obtain competitive quotations, conduct cost comparisons and provide recommendations.
- Monitor vendor performance and ensure compliance with contractual obligations and service standards.
- Maintain effective working relationships with stakeholders, contractors and service providers.
3. Project Management & Execution
- Plan, coordinate and oversee minor projects, improvement works, repairs and upgrading activities.
- Manage project schedules, budgets, contractor deployment and work execution.
- Review quotations, technical proposals and work methodologies.
- Coordinate with stakeholders to minimise disruption to business operations.
- Monitor project progress and ensure timely completion, quality workmanship and proper handover.
- Ensure appropriate safety measures, permits and approvals are obtained before commencement of works.
4. Procurement, Financial & Administrative Management
- Manage day-to-day procurement activities, including sourcing vendors, obtaining quotations and preparing cost comparisons.
- Raise Purchase Requisitions (PRs) and Purchase Orders (POs) in accordance with established procurement procedures.
- Verify invoices, service reports and completed works prior to payment processing.
- Track site expenditure, committed costs, outstanding POs and financial utilisation against approved budgets.
- Maintain accurate financial records, procurement trackers and expenditure reports.
- Monitor contract renewals, service agreements and procurement timelines.
- Prepare budget forecasts, cost estimates and financial updates for management review.
- Maintain proper documentation of maintenance records, statutory inspections, service reports and operational matters.
- Ensure timely submission of reports, administrative documentation and management updates.
5. Team Leadership & Supervision
- Lead and supervise a small onsite facilities management team.
- Plan and coordinate daily work assignments and operational priorities.
- Monitor team performance and ensure timely closure of outstanding tasks.
- Provide guidance and support to maintain consistent service delivery standards.
- Promote accountability, teamwork and continuous improvement.
