Responsibilities

Project Delivery

• Create and maintain project plans with clear milestones, timelines, and assigned owners using tools like MS Project, Excel, or Jira.
• Track scope, schedule, and budget while updating stakeholders with concise status reports and forecast adjustments.
• Identify risks and issues early, log them, and follow through with mitigation actions until resolution.
• Coordinate handovers and acceptance with clients to ensure deliverables meet agreed quality and acceptance criteria.

Stakeholder & Team Coordination

• Run regular standups and milestone reviews to keep internal teams and clients aligned and informed.
• Manage expectations with clients, suppliers, and internal partners through clear agendas and follow-up notes.
• Facilitate decision points to avoid delays and keep approvals moving through the right channels.
• Support resource planning and task allocation to balance workloads across small project teams.

Process & Reporting

• Improve our project templates, checklists, and reporting formats to reduce rework and save time.
• Prepare concise weekly and monthly reports that highlight progress, blockers, and next actions.
• Collect lessons learned after each project and propose practical improvements for future engagement.
• Maintain basic project financial tracking, including expense monitoring against approved budgets.

Requirements

Qualifications & Experience

• Bachelor's degree in business, engineering, IT, or related field preferred, or equivalent practical experience.
• Minimum 2 years of hands-on project coordination or project management experience in professional services or consulting.
• Experience working with clients and small cross-functional teams on scoped engagements is required.
• PM certifications such as PMP or Prince2 are a plus but not mandatory.

Hard Skills & Knowledge

• Familiarity with project management tools such as Jira, MS Project, Trello, or Asana and strong Excel skills.
• Working knowledge of both waterfall and Agile delivery approaches and when to apply each.
• Basic budgeting, forecasting, and expense tracking experience for small to medium projects.
• Ability to produce clear status reports, timelines, and simple risk registers for stakeholders.

Soft Skills & Qualities

• Strong verbal and written communication, able to present status updates and client notes clearly and calmly.
• Organised and detail oriented, with good time management across concurrent tasks.
• Collaborative team player who supports colleagues and helps resolve blockers practically.
