About the Role

We are seeking a meticulous, well-organized Marketing Operations / Admin Executive to anchor procurement administration, invoice reconciliation, OEM marketing claims, and brand KPI reporting across our portfolio.

This role is centered on operational and administrative rigor—ideal for candidates who excel at coordinating with vendors, tracking purchase orders, auditing claims, and preparing data reports for principal partners.

Key Responsibilities

Purchase Order (PO) & Invoice Administration:

• Generate, verify, and issue Purchase Orders (PO) for marketing suppliers, event setups, POSM, digital agencies, and roadshow venues.
• Perform 3-way matching of vendor invoices against approved POs and proof of execution (photos, event delivery orders, tearsheets).
• Liaise directly with Finance and Accounts to ensure timely supplier disbursements and maintain an up-to-date marketing expenditure tracker.

OEM Marketing Subsidy & Claims Filing:

• Compile, audit, and submit marketing subsidy and co-op reimbursement claim dossiers to brand principals (OEMs) strictly within scheduled deadlines.
• Ensure full compliance with principal brand audit standards (e.g., GWM, MG, Honda, Mitsubishi, Jetour) to maximize subsidy recovery.
• Monitor and track status of incoming OEM credit notes and reimbursements.

Brand Performance & KPI Reporting:

• Compile, format, and submit monthly/quarterly marketing activity reports according to OEM principal benchmarks
• Consolidate showroom footfall, event lead capture numbers, and test drive logs into structured management reports.

Ad-Hoc Event Support:

• Assist with vendor logistics, PO issuance, and administrative support for new car launches, roadshows, and weekend showroom events

The Dealership Business comprises several 3S and 4S automobile dealerships for the sale of new automobiles with brands such as Honda, Mazda and Mitsubishi. These Dealerships are owned and operated by MeGroup.

Pay: RM2,500.00 - RM3,500.00 per month
