Required Skills

•      Proficient in Excel/Google Sheets.

•      Meticulous and organized in record management.

•      Able to communicate with workshops/vendors to verify invoices.

Key Responsibilities

1.    Maintenance Cost Records

•      Update maintenance cost data for each vehicle (by registration number) daily/weekly into the centralized system/database.

•      Separate STORE and ENGINE OIL costs by specific vehicle.

•      Ensure every workshop invoice/receipt is recorded with date, registration number, type of work, and cost.

2.    Service Schedule

•      Maintain the periodic service schedule for each vehicle (by mileage/time period) and send reminders to the Maintenance Division before the service date arrives.

•      Record service status — completed, outstanding, in progress.

3.    Spare Parts Inventory

•      Record stock in/out of spare parts (tyres, engine oil, brakes, etc.) at the STORE.

•      Conduct periodic stock checks (stock count) and report spare parts that are low or out of stock.

•      Assist with the process of ordering new spare parts when stock is low.

4.    Reporting

•      Prepare monthly maintenance cost reports per vehicle for review by the Operations Manager.

•      Help identify vehicles exceeding the cost threshold (RM8,000–10,000/month for 3 consecutive months) and escalate for review.

5.    Documentation & Filing

•      Keep physical/digital records of invoices, warranties, and service certificates for each vehicle.

•      Ensure the data-recording SOP is followed consistently by all parties submitting data.
