Patient Relations, Sales & Financial Counselling Coordinator

Facial Plastic and Reconstructive Surgery Clinic · Singapore
Full-time | Patient Enquiries | Consultation Conversion | Patient Relations | Financial Counselling

Important requirement

Applicants must have prior experience working in a private plastic surgery or cosmetic surgery clinic.

We are specifically looking for someone who has hands-on experience answering prospective-patient enquiries, converting telephone/WhatsApp enquiries into consultations, managing the patient journey and providing financial counselling for surgical and non-surgical procedures.

Candidates without relevant private plastic surgery clinic experience are unlikely to be suitable for this position.

About the role

We are looking for an experienced, confident and highly personable Patient Relations, Sales & Financial Counselling Coordinator to join a specialist facial plastic surgery and aesthetics practice in Singapore.

This is a patient-facing and commercially important role, not a conventional reception or administrative position.

You will often be the patient's first point of contact with the clinic. Your ability to communicate effectively, understand what the patient is looking for, build trust and guide the patient towards a consultation will directly influence the growth of the practice.

Following consultation with the doctor, you will continue to support the patient through financial counselling, quotations, treatment decisions, surgery scheduling and follow-up.

The principal focus of the role is:

Enquiry → Consultation → Patient relationship → Financial counselling → Treatment/Surgery booking → Long-term patient relationship

Key responsibilities

Patient enquiries & consultation conversion

  • Answer incoming telephone, WhatsApp, website, social-media and email enquiries promptly and professionally.
  • Speak confidently with prospective patients considering plastic surgery, facial aesthetic surgery and non-surgical treatments.
  • Understand the patient's concerns and establish what they are seeking from the consultation.
  • Explain the consultation process clearly and appropriately.
  • Convert suitable enquiries into booked consultations.
  • Follow up patients who enquire but do not immediately make an appointment.
  • Maintain systematic follow-up rather than waiting for prospective patients to call back.
  • Re-engage appropriate patients who previously enquired, postponed consultation or deferred treatment.
  • Track enquiry source, response time, appointment conversion, no-shows and lost enquiries.

Patient experience & patient relations

  • Provide a warm, discreet and highly responsive experience from the patient's first contact with the clinic.
  • Build genuine rapport with patients and develop long-term relationships.
  • Ensure patients feel listened to, informed and well looked after throughout their journey.
  • Coordinate communication between the patient, surgeon, nursing team, hospitals and other providers.
  • Anticipate patient questions and ensure concerns are addressed promptly.
  • Maintain contact following treatment and surgery to support continuity of care.
  • Help develop satisfied patients into long-term patients of the practice through excellent service rather than aggressive selling.
  • Manage sensitive, anxious or demanding patients calmly and professionally.

Financial counselling & treatment conversion

  • Meet patients following their consultation with the surgeon to discuss the administrative and financial aspects of their proposed treatment.
  • Clearly explain surgical quotations, professional fees, hospital/day-surgery charges and other anticipated costs.
  • Present payment arrangements clearly and confidently.
  • Help patients understand the practical next steps required to proceed with surgery or treatment.
  • Follow up patients following financial counselling and address outstanding administrative questions.
  • Coordinate deposits, scheduling and booking once the patient decides to proceed.
  • Support insurance enquiries, Letters of Guarantee and pre-authorisations where applicable.
  • Maintain accurate records of quotations, patient decisions and follow-up.
  • Work towards agreed consultation and treatment-conversion targets while maintaining appropriate professional and ethical standards.

Surgical & treatment coordination

  • Coordinate surgery dates, operating facilities and pre-operative appointments.
  • Assist patients with investigations, pre-operative requirements and scheduling.
  • Liaise with private hospitals and day-surgery facilities where required.
  • Coordinate non-surgical aesthetic treatment bookings and follow-up.
  • Ensure each patient has a clearly documented next action within the clinic's CRM or practice-management system.

Essential experience

Applicants should have:

  • Previous experience in a private plastic surgery or cosmetic surgery clinic — essential.
  • Direct experience handling telephone and WhatsApp enquiries from prospective plastic surgery patients.
  • Demonstrated ability to convert enquiries into consultations.
  • Experience in patient relations and patient journey management.
  • Experience providing financial counselling and quotations for plastic surgery or cosmetic procedures.
  • Experience following patients from consultation through to treatment or surgical booking.
  • Excellent spoken and written English.
  • Warm, confident and persuasive communication skills.
  • Strong follow-up discipline.
  • High emotional intelligence and the ability to establish rapport quickly.
  • Excellent organisation and attention to detail.
  • Discretion when handling sensitive medical, financial and personal information.
  • Comfort working towards measurable patient-service and conversion goals.

Highly desirable

Experience with any of the following would be advantageous:

  • Facial plastic surgery, rhinoplasty, facelift or eyelid surgery.
  • Aesthetic medicine and non-surgical facial treatments.
  • Private hospital or day-surgery coordination.
  • Insurance, LOG and pre-authorisation processes.
  • CRM or clinic-management systems.
  • Patient retention and recall programmes.
  • Marketing lead management.
  • Social-media enquiries and digital lead conversion.
  • Canva, AI-enabled productivity tools or digital marketing platforms.

Marketing support

Marketing is part of the position, but the primary responsibility is patient engagement, conversion, patient relations and financial counselling.

The successful candidate may also:

  • Liaise with the clinic's external marketing agency regarding incoming leads and campaigns.
  • Provide feedback on the quality of leads generated by different campaigns.
  • Help identify frequently asked patient questions that can be addressed through marketing content.
  • Assist with patient-facing educational material and social-media content where appropriate.
  • Track which marketing channels generate consultations and ultimately surgical or non-surgical patients.

What we offer

  • Basic salary: S$4,000–5,000 per month, depending on relevant experience and demonstrated capability.
  • Performance-based incentives linked to appropriate consultation conversion, patient retention and clinic-growth outcomes.
  • Performance bonus.
  • Medical and dental benefits.
  • Annual leave in accordance with company policy.
  • Training in facial plastic surgery, aesthetics and premium patient coordination.
  • Direct access to the surgeon and clinic leadership.
  • An opportunity to play a central role in developing the patient journey of a growing specialist practice.
  • Career progression as the clinic expands.

Working hours: Monday-Friday, 8.30am-5.30pm; Saturday, 8.30am-1.00pm. Saturday rostering may move to an alternate or rotating arrangement as the team expands.
