About EveryChild.SG

EveryChild.SG is a non-profit, volunteer-driven movement working towards a Singapore that prioritises the well-being and holistic development of all its children.

We research, engage and collaborate with government and civil society to:

  • Encourage transformation of the primary school education system
  • Ensure parents, caregivers and educators have access to practice, evidence-based resources and support
  • Raise awareness of how society as a whole can treat children with greater respect, empathy and care.

Through our work, we aim to bring together parents, professionals, youth, and policymakers to reimagine a future where children can learn with joy, grow with confidence, and thrive in a supportive society.

Job Description

Role Objective

The Community Engagement and Operations Coordinator supports the COO in the execution of EveryChild.SG's strategic plans. The role provides practical coordination across day-to-day operations, managing volunteers, planning and execution of events and volunteer engagement.

Working closely with the COO and wider team, you are someone who is able to prioritise tasks and manage timelines within a small mission driven team. You will be instrumental in building a positive and well-supported volunteer community and coordinating events from planning through delivery and review. You are a self-starter, with strong organisation skills, sound judgement, and enjoy working collaboratively.

Key Responsibilities

Volunteer Management

• Coordinate the volunteer journey, including recruitment support, screening, onboarding, orientation, deployment, communication, recognition and offboarding.

• Maintain accurate and up-to-date volunteer records, availability, skills, assignments, attendance and required documentation.

• Match volunteers to suitable events, campaigns and organisational needs, in consultation with the COO and relevant project leads.

• Prepare volunteer briefs, schedules, role descriptions and supporting materials, and ensure volunteers understand their responsibilities and points of contact.

• Serve as the primary coordination contact for volunteers, responding promptly to questions and supporting a safe, respectful and inclusive experience.

• Gather volunteer feedback, monitor engagement and recommend ways to strengthen retention, recognition and volunteer experience.

Event and Campaign Coordination

• Coordinate EveryChild.SG events, talks, workshops, activations and campaign activities from initial planning through delivery and post-event review.

• Develop event workplans, schedules, run sheets, checklists and budgets for approval, and track deadlines and responsibilities.

• Coordinate venues, speakers, partners, vendors, volunteers, registration, equipment, materials, catering and other logistics.

• Work with the communications team to provide accurate event information and support invitations, registration and attendee communications.

• Provide on-site coordination, troubleshoot operational issues and ensure that activities are delivered safely and professionally.

• Complete post-event administration, including attendance records, payments and claims support, feedback collation, debriefs and outcome reporting.

General Operations and Administration

• Help maintain clear workplans, timelines, calendar of events and records, and flag delays, risks or decisions requiring the COO's attention.

• Support the COO with planning, scheduling, meeting preparation, notes, action tracking and follow-up.

• Support data collection and simple reporting on volunteer engagement, events and operational deliverables, including handling sensitive organisation, partner and volunteer information with discretion and confidentiality.

• Undertake other reasonable duties that support the effective operations and mission of EveryChild.SG, as assigned by the COO.

Working Requirements

• Availability to attend and support occasional evening or weekend events, with advance notice where practicable.

• Willingness to travel locally to event venues, meetings and partner locations as required.

• Commitment to EveryChild.SG's mission and to creating respectful, safe and inclusive environments for children, families, volunteers, partners and colleagues.

• Work arrangements are mostly remote, with a requirement to attend some in-person weekly/bi-weekly meetings with COO and wider team is required.

• Role can be part time or flexi hours (20-30 hours a week), to suit the needs of the right candidate (including time in above-mentioned meetings)
