Job Description:

We are seeking a proactive and well-organised Event & Marketing Executive to manage the planning, coordination and execution of company events and marketing activities.

This position primarily focuses on event operations, vendor coordination, logistics, venue arrangements and on-site execution. The successful candidate will be involved in roadshows, exhibitions, bazaars, mall events, retail activations, product launches and product-sampling campaigns.

Key Responsibilities

Event Planning and Operations

• Plan and manage events from the initial preparation stage through completion.
• Develop event layouts, floor plans, schedules, operational checklists and manpower plans.
• Arrange booth setup, logistics, equipment, product stocks and promotional materials.
• Coordinate with event organisers, mall management, suppliers and service providers.
• Conduct site visits to assess venue conditions and event requirements.
• Supervise event setup, daily operations and dismantling activities.
• Resolve operational issues efficiently during events.

Vendor and Team Coordination

• Obtain and compare quotations from vendors and suppliers.
• Negotiate event packages, prices and service requirements.
• Ensure all event expenses are managed within the approved budget.
• Arrange and coordinate promoters, part-time staff and event crew.
• Brief the event team on schedules, responsibilities and operational requirements.

Marketing Support

• Support the execution of promotional campaigns and marketing activations.
• Collaborate with the Content Creator, Live Host and Graphic Designer to prepare event materials.
• Ensure posters, banners, displays and other branding materials are completed before each event.
• Maintain consistent brand presentation across all event locations.

Documentation and Reporting

• Prepare event proposals, budgets, schedules and checklists.
• Track event expenses, customer engagement and overall performance.
• Prepare accurate post-event reports within the required timeline.
• Maintain updated records of event organisers, vendors and suppliers.

Requirements

• Diploma or Degree in Event Management, Marketing, Business Administration, Mass Communication or a related field.
• Minimum 2 years of relevant experience in event management, event planning or marketing activation.
• Experience managing roadshows, exhibitions, mall events, bazaars, product launches or sampling activities is preferred.
• Strong communication, organisation, problem-solving and negotiation skills.
• Able to handle multiple events and meet deadlines in a fast-paced environment.
• Willing to travel and work during weekends or public holidays when required.
• Possession of a valid driving licence and own transport would be an advantage.
• Sales experience is an added advantage, but this is not a sales-focused role.
