Job Descriptions:
- To assist the HR & Admin Manager in daily operations.
- To attend weekly Management Meeting and prepare minutes of meeting.
- Monitoring company structure/organization chart by updating job requirements and job descriptions for all positions as and when required.
- Draft and update of documents such as job descriptions, employee handbook, performance appraisal, forms, SOP, policies and other HR related documents.
- Coordinate Human Resources projects, meeting, training and seminars to ensure staff are fully equipped to be able to perform their duties.
- Maintain HR records by recording new hires, transfer, termination, change in job classification, tracking Annual Leave, sick leave, attendance.
- Screening the candidates by resume shortlisting, phone interview and personal interviews with coordination with the concerned departments & background verification of the shortlisted candidates Also notify internal staff of any internal job opportunities to upgrade themselves;
- Issuing Letter of Offer/Intent/Employment to the selected candidate
- Maintaining personal records of all staff and ensure all the relevant in the personal file are kept hardcopy and softcopy.
- Conduct orientation program and briefing to new employee
- Conducting and analyzing entrance/exit interviews and recommending changes.
- Monitor Company & HR department budget such as office rental, utilities, staff claims, directors claims, office maintenance.
- Work closely with Infra and finance team for Setting up / Update / Forward email addresses for new employees and resigned employees.
- Assist in payroll preparation by providing relevant data / information and manage staff OT and claims.
- Measure employee retention and turnover rates.
- Maintain and review staff information in the staff listing and update in the HR system.
- Ensure staff attendances, staff daily activity report are being monitored closely.
- In charge of renewing and applying Company license, MOF & Bumiputera, and any relevant license required by the Company.
- Maintaining company agreements
- In charge of handling survey required by government agencies.
- Planning of company events or activities on occasions by management’s approval
Administration
- Answering incoming and outgoing calls.
- To perform general admin duties includes photocopying, faxing, mailing and filing.
- Established & maintain proper filling and information flow systems.
- Oversee all administrative tasks in accordance with Company policies & procedures.
- Acquire and maintain office furnishing, equipment & supplies.
- Handling Air Ticket Purchasing, applying Visa for staff, handling work permit for current and future staff.
- To perform any other duties that may be required.
Job Requirements:
- Candidate must possess at least Diploma, Bachelor Degree in Human Resource Management, Business studies / administration Management or equivalent.
- At least 3 year(s) of working experience Human Resources Administration and Office Administration.
- High personal motivation, self-management & detailed oriented: ability to manage & handle several task at the same time.
- Candidate must be able to engage creative & innovative thinking & willing to be in conventional when undertaking their tasks. Independent thinking & not relying on established templates are required. Being efficient and pro-active in work.
- Flexibility in responding to new Human Resources & Office admin practice opportunities as they arise.
- Candidate must be proficient in English & Bahasa Malaysia, both in speaking & writing.
- Candidate familiar with any Payroll System have the added advantage.
- Demonstrated skill with Microsoft Office applications (Excel, Power Point, Word, etc.).
- Excellent organization, problem solving and communication skills.
- Good working attitude and willingness to learn.
- Good in time management and must be able to come to office early or on time.
- Fit and do not have any health problem.
- Good communication skills.
- Highly motivated and able to work under pressure.
- Must possess own transportation and willing to travel and no problem to work beyond working hours or weekend if required due to urgent matters.
Working Location: Kampung Baru, KL.

Pay: RM2,500.00 - RM4,000.00 per month
