Job Title: Logistics Assistant – Vehicle Import & Customs Clearance

We are seeking a detail-oriented and proactive Logistics Assistant to oversee and manage the end-to-end import process for our automotive portfolio. In this role, you will work closely with PEKEMA, government agencies (MITI, Royal Malaysian Customs Department / Kastam), handle port operations at Port Klang, coordinate with freight forwarders and shippers, and ensure all imported vehicles are inspected, cleared, and safely delivered to our showrooms on schedule.
Key Responsibilities & Duties

- PEKEMA Coordination: Work closely with PEKEMA to ensure full compliance with association guidelines, submit required documentation, track AP allocations, and coordinate member-related import matters.
- MITI Permits: Prepare, submit, and track Approved Permit (AP) applications and import documentation with MITI in a timely manner.
- Customs Clearance: Liaise directly with Royal Malaysian Customs Department (Kastam) to manage duty valuations, tax payments, K1/K8 declarations, and smooth customs clearance.
- Ensure full statutory compliance with local automotive import regulations and reporting standards.
2. Port Operations & Vehicle Inspection
- Conduct regular physical trips to Port Klang (Northport / Westport / PKFZ) to oversee vessel arrival and vehicle discharge.
- Perform thorough physical inspections of vehicles upon arrival at Port Klang for any visual damage, missing accessories, or shipping defects, documenting findings with photo logs and condition reports.
- Manage claim filings with insurance providers, shipping agents, or carriers in the event of transit damage or missing items.
3. Shipping, Freight & Vendor Management
- Coordinate seamlessly with overseas shippers, ocean carriers, local shipping agents, and freight forwarders for vessel bookings, Bills of Lading (B/L), and arrival schedules.
- Arrange car haulers and towing vendors for safe, prompt land transportation of cleared vehicles from Port Klang to showrooms or central holding yards.
- Monitor release dates to minimize port storage, demurrage, and detention charges, ensuring vehicles exit Port Klang within strict deadlines.
4. Reporting & Inventory Tracking
- Prepare accurate monthly regulatory reports for submission to MITI, Kastam, PEKEMA, and relevant government authorities.
- Generate monthly internal management reports tracking import volumes, clearance turnaround times, landed costs, and port demurrage performance.
- Maintain complete and updated inventory logs from shipment booking to final delivery at the showroom.
Requirements & Qualifications
- Education: Diploma or Bachelor’s Degree in Logistics, Supply Chain Management, Transportation, Business Administration, or equivalent.
- Experience: 1–3 years of hands-on experience handling automotive import/export logistics, customs clearance, and port operations (Experience dealing with PEKEMA and MITI systems is strongly preferred).
- Knowledge: Familiarity with PEKEMA operational workflows, MITI AP systems, Kastam duty structures/procedures, Port Klang operations, and shipping documentation (B/L, Commercial Invoice, Packing List, Certificate of Origin).
- Licensing & Travel: Must possess a valid driving license (Class D) and be willing to travel frequently to Port Klang, PEKEMA offices, and relevant government bodies.
- Skills: Strong organizational skills, high attention to detail, proactive problem-solving, and fluent communication skills in Bahasa Malaysia and English.
