Reports to: Executive Director
Work arrangement: Hybrid - 3 days in office, 2 days remote; Saturdays when required
Employment type: Full-time

Start Date: January 2027
Salary range: RM4,000-RM5,000 per month, commensurate with experience

Role purpose

The Communications & Engagement Specialist is Fugee’s hands-on communications role. The postholder strengthens communication with partners, produces clear and credible programme and annual reports, maintains Fugee’s digital presence, and supports meaningful volunteer engagement.

This is a mid-level role for a practical and organised communications professional who can plan, prioritise, write, create basic content and manage several deadlines independently. The role focuses on Fugee’s most critical communications needs

Key responsibilities

Responsibilities are listed in priority order. Partner commitments and reporting deadlines take precedence over routine content production and non-essential requests.

1. Partnership communications

  • Maintain current partner records in Airtable, including contacts, relationship owner, communication history, commitments, documents, next actions and risks.
  • Draft and coordinate partner updates, acknowledgements, invitations, briefing notes, impact stories, reports and follow-up.
  • Respond to or route partner enquiries promptly, ensuring actions are tracked through to completion.
  • Prepare clear partner-facing materials such as one-pagers, short presentations and programme updates.
  • Work with the Executive Director and relationship owners to flag upcoming commitments, engagement opportunities, overdue actions and risks.

2. Programme and annual reporting

  • Maintain an annual reporting calendar covering programme reports, partner updates, funder/donor requirements and the annual report.
  • Gather, write, edit and compile programme reports, partner updates, impact communications and presentations with programme teams, Finance and leadership.
  • Translate programme data, outcomes and stories into clear, accurate and audience-appropriate reporting.
  • Coordinate Fugee’s annual report, including the timeline, input collection, drafting, editing, review, design coordination and publication.
  • Flag incomplete, inconsistent or late information early and follow up with the relevant data owner.

3. Digital presence and content

  • Maintain a realistic quarterly and monthly communications plan for Fugee’s website, priority social-media channels, partner communications and volunteer engagement.
  • Keep priority website pages accurate, current and useful, including programme, partner, volunteer, event, donation and organisational-information pages.
  • Plan, write, schedule, publish and monitor content for Fugee’s agreed priority social-media channels.
  • Produce hands-on content where appropriate, including copy, captions, basic photos, short videos, simple edits, Canva-based graphics, newsletters and web updates.
  • Work with colleagues and volunteers to gather consented stories, photographs and video; maintain an organised content library.
  • Monitor messages and comments, responding or routing enquiries according to agreed guidance.
  • Track basic website and social-media performance and recommend practical improvements.

Although the role does not have a major fundraising or income-generation target, it must ensure Fugee’s digital presence is relevant, current and ready to support fundraising opportunities. Digital communications should help build trust and make it easy for future fundraising activity to convert interest into action.

4. Volunteer communications

  • Maintain clear volunteer communications from enquiry and onboarding through participation, updates, recognition and re-engagement.
  • Draft and distribute volunteer welcome information, briefings, opportunity notices, newsletters, reminders, event communications and recognition materials.
  • Keep volunteer communication and engagement records accurate in Airtable or the agreed platform.
  • Gather and share consented volunteer stories and basic visual content.
  • Monitor routine volunteer enquiries and feedback; route operational, welfare, safeguarding or conduct concerns immediately to the appropriate colleague.
  • Work with programme and operations teams so volunteer communications reflect accurate roles, dates, requirements and safeguarding expectations.

Balancing priorities

The postholder will manage these responsibilities flexibly across the year according to organisational needs and known high-demand periods. During programme-reporting or annual-report periods, digital content should reduce to planned essential maintenance; during significant partner or volunteer activity, communications effort may shift accordingly.

The postholder is expected to plan ahead, flag competing deadlines early, and recommend what should be delayed, simplified, outsourced or stopped when priorities cannot reasonably be delivered at the same time.

Qualifications and skills

Education: Degree in Communications, Public Relations, Journalism or a related field.

Experience: At least 3 years’ experience in communications, public relations, stakeholder engagement or programme coordination, preferably in an NGO, nonprofit or social-impact setting. Demonstrated experience writing funding, impact, partner or donor reports is required.

Skills:

  • Strong written and verbal communication, including experience handling sensitive or high-stakes correspondence.
  • Experience managing communications with partners, volunteers, media or other external stakeholders.
  • Experience producing and maintaining website, social-media or digital content.
  • Familiarity with Airtable, CRM/project-management tools, website CMS platforms and basic digital analytics.
  • Comfortable producing basic photographs, short videos and simple visual content using tools such as Canva, CapCut or similar.
  • Prior experience in, or exposure to, crisis or reputational communications is an advantage.
  • Excellent written and spoken English, with proficiency in Bahasa Malaysia.
