Role PurposeTo support delivery of IT infrastructure projects by coordinating site works, tracking progress, and serving as a key point of contact for stakeholders. The Assistant Project Manager must be able to write clearly and concisely, prioritise what matters, and communicate project impact promptly — especially when under client scrutiny or when risks emerge.Key Responsibilities1. Project Coordination & Site Management
- Track project timelines, milestones, and deliverables against approved schedules.
- Coordinate with subcontractors, vendors, and internal IT teams to ensure work progresses according to plan.
- Monitor site activities and enforce safety, quality, and housekeeping standards.
2. Writing, Reporting & Stakeholder Communication
- Prepare clear, concise status reports, meeting minutes, and project documentation — written communication is a core requirement of this role.
- Lead every update with the impact — delays, blockers, and risks must be surfaced in the first line, not buried in a progress list.
- Write for the audience: distinguish what stakeholders already know from what they need to be told.
- Serve as a primary point of contact for clients, consultants, and authorities.
- Proactively manage stakeholder availability and potential disruptions — e.g., flagging upcoming absences of key contacts and securing alternative arrangements before they impact the project.
- Attend client and site meetings; respond confidently to questions and challenges without deferring or freezing.
3. Risk Identification & Escalation
- Anticipate project risks and escalate issues to the Project Manager before they become critical.
- Identify when a stakeholder's unavailability (e.g., leave, competing priorities) threatens a deadline and act to mitigate.
- Maintain a risk log and follow up on corrective actions.
4. Problem Solving Under Pressure
- Address site issues and client concerns promptly and decisively.
- Make sound judgment calls within defined authority; know when to escalate.
- Remain composed and effective when questioned or challenged by clients or senior stakeholders.
Job RequirementsEducation:
- Diploma or Degree in IT, Computer Science, Information Systems, Electrical Engineering or a related discipline.
Experience:
- Minimum 3–5 years of relevant experience in IT project coordination, infrastructure, or site management.
- Proven track record of producing written reports and updates for stakeholders at various levels.
- Experience managing stakeholder relationships and communicating project status to varied audiences.
