Job Summary
The HR Officer is responsible for supporting the day-to-day administration and operations of the Human Resources department. The role covers employee records, attendance and leave administration, recruitment support, onboarding, payroll coordination, employee welfare, and implementation of HR policies and procedures.
Key Responsibilities
1. HR Administration
Maintain and update employee personal and employment records.
Prepare HR letters, memos, confirmation letters, appointment letters, and other HR documents.
Maintain proper filing of employee and HR documentation.
Ensure employee information in HR systems is accurate and up to date.
Handle confidential employee information appropriately.
2. Recruitment & Onboarding
Assist with recruitment activities, including job postings, candidate screening, interview arrangements, and candidate communication.
Coordinate interviews with hiring managers.
Prepare employment documentation for new employees.
Coordinate new employee onboarding and orientation.
Ensure all required joining documents are properly completed.
3. Attendance & Leave Administration
Monitor employee attendance, punctuality, overtime, and leave records.
Maintain records of annual leave, medical leave, emergency leave, and other types of leave.
Follow up on attendance discrepancies with employees and relevant departments.
Prepare attendance information for payroll processing.
4. Payroll Support
Assist with monthly payroll preparation and verification.
Check attendance, overtime, allowances, deductions, claims, and other payroll-related information.
Coordinate payroll information with the payroll team or external payroll provider.
Assist with statutory payroll-related matters and documentation.
5. Employee Relations & Welfare
Respond to employees' basic HR enquiries.
Assist with employee welfare and engagement activities.
Support the HR team in handling employee concerns and workplace issues.
Assist with disciplinary documentation and employee counselling when required.
Maintain good communication between employees and management.
6. Training & Development
Assist in coordinating internal and external training programmes.
Maintain employee training records.
Arrange training schedules, venues, attendance, and related documentation.
Assist in monitoring training participation and completion.
7. HR Policies & Compliance
Assist in implementing company HR policies and procedures.
Ensure HR processes are carried out consistently.
Assist the HR team in maintaining compliance with applicable employment requirements.
Support HR audits and inspections when required.
8. HR Reporting
Prepare basic HR reports and statistics.
Assist with monthly HR reports covering headcount, attendance, turnover, leave, recruitment, and other HR metrics.
Provide accurate HR information to management when required.
9. Other Duties
Assist the HR Manager / HR Executive with HR projects and activities.
Participate in company events and employee engagement activities.
Perform other duties assigned by management from time to time.
