About the Role:

We are seeking an organised and proactive Administrative Executive to ensure the smooth and efficient running of our Secretariat. In this role, you will oversee membership services and provide vital governance support to the EXCO to ensure the smooth daily running of the Association's executive functions.

Roles and Responsibilities:

• Manage and process membership and register applications and renewals.
• Maintain accurate member records, track fee statuses and support finance record-keeping.
• Support SAC governance meetings, including preparing agendas and taking minutes.
• Assist with Association events.
• Support daily Secretariat operations, including AGM preparation, circulars, enquiries and filing.
• Review, learn and update Secretariat Standard Operating Procedures (SOPs).
• Support IT projects and website updates.
• Take on other duties as assigned.

Job Requirements:

• At least a Diploma in relevant fields (e.g., Business Administration, Social Services).
• Prior experience in administration, membership management, finance or customer service.
• Strong organisational, analytical, record-keeping skills.
• Detail-oriented with the ability to multitask and meet tight deadlines.
• Excellent communication skills (both verbal and written) with a courteous demeanour.
• High level of integrity to handle sensitive member and personal data.
• Team player who is willing to learn and able to work independently.
• Able to work occasional evenings and Saturdays, if needed.
• Proficient in MS Office, email platforms, WordPress, and Canva, with basic IT skills.
• Social service industry experience is a plus.
