Job Summary

We are looking for a responsible, proactive and organised Administrator to support our daily rental operations and administrative activities. The successful candidate will play an important role in coordinating customer requests, machinery repairs and maintenance, equipment deliveries and collections, and general operational matters. You will work closely with customers, the Operations team, Workshop personnel and Drivers to ensure smooth and efficient daily operations. Candidates with experience in construction equipment, machinery rental, logistics, customer service or a related industry will have an added advantage.

Responsibilities

• Coordinate customer requests for machinery repairs, servicing, and maintenance to ensure timely resolution
• Prepare accurate repair quotations, service reports, and related documentation for customer and internal use
• Arrange and coordinate equipment deliveries, collections, and on-site activities to meet operational schedules
• Communicate with customers regarding equipment maintenance schedules, repair progress, and payment follow-ups
• Collaborate with Operations, Workshop personnel, and Drivers to execute daily jobs efficiently and on time
• Monitor operational schedules and provide customers with timely updates on job status
• Respond professionally to customer enquiries, feedback, and operational issues to maintain service quality
• Maintain accurate records, reports, documentation, and filing systems for operational transparency
• Build and sustain positive working relationships with customers and internal teams to support smooth operations
• Provide general administrative and operational support as needed to enhance team effectiveness

Preferred competencies and qualifications

• Experience in machinery rental, construction equipment, logistics, or customer service industries
• Proficiency in Microsoft Office and computer applications
• Ability to multitask and work effectively in a fast-paced environment
• Strong organisational skills with attention to detail
• Positive attitude with willingness to learn and take ownership of responsibilities
• Ability to work independently and collaboratively within a team
