Job Purpose

The Temporary Spare Parts Store Clerk is responsible for supporting the daily operations of the Spare Parts Warehouse to ensure the efficient receiving, storage, issuance, and inventory control of spare parts, maintenance materials, and consumables. The role is critical in maintaining inventory accuracy and ensuring timely availability of spare parts required to support maintenance and production activities across the plant.

Key Responsibilities

Inventory Management

• Receive, inspect, and verify spare parts and materials against purchase orders, delivery orders, and supporting documentation.
• Perform system transactions accurately for all inventory movements.
• Ensure inventory records are updated and maintained in the ERP/SAP system.
• Monitor stock levels and highlight potential shortages or replenishment needs to the relevant parties.
• Support periodic stock counts, cycle counts, and annual physical inventory activities.
• Assist in investigating and resolving stock discrepancies.

Warehouse Operations

• Store spare parts and materials according to designated storage locations and warehouse procedures.
• Maintain proper identification, labeling, and organization of spare parts inventory.
• Issue spare parts, tools, and consumables to authorized personnel in accordance with established procedures.
• Ensure all inventory transactions are supported by proper documentation.
• Coordinate material movement and replenishment activities within the warehouse.

Documentation & Administration

• Maintain accurate warehouse records, filing systems, and inventory documentation.
• Prepare inventory and stock movement reports as required.
• Support audit activities and provide relevant documentation when requested.
• Assist with data entry and general warehouse administrative duties.

Safety, Quality & Compliance

• Adhere to all company safety, food safety, quality, and environmental requirements.
• Ensure good housekeeping practices are maintained within the warehouse area.
• Comply with warehouse procedures, work instructions, and inventory control guidelines.
• Report any inventory, safety, or operational concerns to the supervisor promptly.

Requirements

Education

• SPM, Certificate, or Diploma in Logistics, Supply Chain, Warehouse Management, Business Administration, Engineering, or a related field.

Experience

• Minimum 1 year of experience in warehouse operations, storekeeping, inventory control, or logistics is preferred.
• Experience managing spare parts inventory in a manufacturing environment will be an added advantage.
• Fresh graduates with relevant qualifications are encouraged to apply.

Technical Skills

• Basic knowledge of warehouse and inventory management principles.
• Familiarity with ERP systems (SAP experience is an advantage).
• Proficient in Microsoft Office applications, particularly Excel.
• Good numerical and record-keeping skills.

Competencies

• Strong attention to detail and accuracy.
• Good organizational and time management skills.
• Ability to work independently and as part of a team.
• Good communication and coordination skills.
• Ability to perform physical inventory handling activities when required.

Preferred Qualifications

• Experience handling MRO (Maintenance, Repair and Operations) spare parts.
• Exposure to warehouse inventory control processes in a manufacturing environment.
• Forklift driving experience or valid forklift license will be an added advantage.
