Position Summary
We are seeking a detail-oriented and organized customer service and office administrator to support daily administrative operations, with a primary focus on printing, document processing, filing, and records management. The successful candidate will ensure documents are accurately prepared, printed, scanned, filed, and distributed while maintaining efficient office workflows. Part of document processing is to enter the correct values into the system either for storage/retrieval and to print the appropriate documents from the system.

As this position will be based on a remote office, the working hours are 5 days a week (Monday to Friday 0800h to 1700h) with alternate Saturdays (0800h to 1300h). However, be advised that we are looking for a person who is committed to helping clear backlogs or to support the team when needed.
Key Responsibilities
Customer Service
- Handle customer enquiries via email, phone, WhatsApp and other communication channels.
- Coordinate with customers regarding orders, deliveries, collections and shipment status.
- Provide timely updates on order and delivery progress.
- Follow up on customer requests, complaints and issues and coordinate with relevant departments for resolution.
- Maintain good working relationships with customers and internal stakeholders.
- Prepare and send order confirmations, delivery updates and other customer-related documents.
Warehouse & Logistics Administration
- Prepare and maintain delivery orders, invoices, packing lists, goods receiving documents and other warehouse documentation.
- Coordinate with warehouse personnel, transporters, drivers and customers to ensure smooth daily operations.
- Monitor inbound and outbound shipments and update tracking records.
- Assist in preparing daily warehouse and logistics reports.
- Maintain accurate records of stock movements, deliveries, collections and related documentation.
- Ensure all documents are properly filed and readily available for reference or audit.
Documentation
- Handle daily printing, photocopying, scanning, binding, and document preparation tasks.
- Organize, file, retrieve, and maintain physical and electronic records.
- Ensure all documents are processed accurately and within timelines.
- Manage incoming and outgoing mail, courier services, and document distribution.
- Update administrative records, databases, and document tracking logs.
- Support data entry and basic clerical duties.
- Maintain adequate stock levels of office and printing supplies.
- Coordinate with departments regarding document requests and deadlines.
- Ensure confidentiality and proper handling of sensitive documents.
- Assist with general office administration as assigned.
Required Skills & Qualifications
Education
- Minimum STPM, Certificate, or Diploma/Degree in Administration, Business Studies, or related field.
Technical Skills
- Basic proficiency in Microsoft Office (Word, Excel, Outlook, SharePoint, OneDrive).
- Experience operating printers, copiers, scanners, and document finishing equipment.
- Basic data entry and document management skills.
- Good understanding of filing systems and office procedures.
Soft Skills
- Attention to detail and accuracy.
- Good organizational and time management skills.
- Ability to prioritize multiple tasks.
- Reliable, responsible, and punctual.
- Good communication skills in English and Bahasa Malaysia.
- Must respond to communications in a timely manner with key team members.
Pay: RM2,500.00 - RM3,000.00 per month
