We are seeking an experience and detail-oriented Purchase to Pay Executive to join our APAC Share Service Finance team in Barry Callebaut which is based in 1Powerhouse, Bandar Utama. The Purchase to Pay Executive will be responsible for managing the invoice posting process, ensuring accurate and timely invoice submission, performing month-end-closing activities, and preparing KPI control reports. The ideal candidate should have a strong understanding of account payable procedures, good communication skills, ability to collaborate effectively with various stakeholders and a keen eye for detail.

Compare and evaluate offers from suppliers
Negotiate contract terms of agreement and pricing
Track orders and ensure timely delivery
Review quality of purchased products
Enter order details (e.g. vendors, quantities, prices) into internal databases
Maintain updated records of purchased products, delivery information and invoices
Prepare reports on purchases, including cost analyses
Monitor stock levels and place orders as needed
1) To source, select and cost negotiate with vendor to strive for best purchase price
2) Preparing form and documents related to agreement, authorization to be signed by director
3) Proper filling of hardcopy documents for records and easy retrieval
4) Assisting senior office admin in performing various clerical duties such as filing, organizing, data entry and data records
5) To handle calls and emails
6) Proficiency in MS Office (MS Excel in particular) and good word processing speed
7) Attend to any other task(s) assigned by superior and/or Head of Department.
8) Organizing and maintaining files records, both physical and digital.
9) Managing office inventory and supplies.
10) Assisting in preparing reports and presentation.
