- Job SummarySupports the HR Manager in the execution of human resources strategies and operations. This role acts as a bridge between upper management and operational HR staff, ensuring the smooth running of daily HR functions while also contributing to broader strategic initiatives.Key Responsibilities1. HR Operations & AdministrationSupervise daily HR operations including attendance, leave, claims, payroll inputs, and employee recordsOversee the maintenance and confidentiality of HR documentation and HRIS systemsEnsure accuracy in handling statutory compliance (EPF, SOCSO, EIS, PCB, EA Form, etc.)Review and prepare HR reports, headcounts, and monthly updates for management2. Recruitment & Talent AcquisitionAssist in workforce planning and recruitment strategiesLead the full recruitment cycle: job posting, screening, interviews, reference checks, and offer preparationLiaise with department heads to understand hiring needsSupport onboarding and orientation processes for new hires3. Employee Relations & EngagementAddress employee grievances and concerns professionally and confidentiallyMediate internal conflicts and coordinate disciplinary actions with documentationAssist in developing and executing employee engagement programs and activitiesPromote a healthy, inclusive, and productive workplace culture4. Training & DevelopmentCoordinate training schedules, vendors, and employee attendanceMaintain training records and evaluate the effectiveness of training programsIdentify skill gaps and recommend development programsSupport in executing performance improvement plans5. Performance ManagementCoordinate the performance appraisal cycle and ensure timely evaluationsAssist managers in setting KPIs and performance goalsMaintain performance records and support in rewards and improvement plans6. HR Policy Implementation & ComplianceEnsure all HR practices are in line with company policies and local employment law (e.g. Employment Act 1955)Assist in updating HR policies, SOPs, and handbooksHelp facilitate audits and resolve compliance issues7. Payroll & Compensation SupportCollect and verify monthly payroll inputs (e.g., overtime, allowances, deductions)Work with the finance/payroll team to ensure accurate salary disbursementSupport compensation reviews, annual increments, and bonus distributions8. Reporting & DocumentationGenerate periodic HR reports for internal use and audits (headcount, turnover, absenteeism, etc.)Draft HR letters: offer, promotion, confirmation, warning, termination, etc.Manage filing systems and ensure timely renewal of licenses or HR-related applications9. Support in Strategic InitiativesSupport the HR Manager in HR transformation, automation, or digitalization initiativesParticipate in manpower planning, succession planning, and change management projectsAct as the backup HR Manager when the manager is unavailable
