The Administrative Cum Customer Service Executive provides administrative, operational, and customer service support to the Student Recruitment Department. The role serves as a key point of contact for prospective and current students, parents, agents, and other stakeholders, ensuring enquiries and administrative matters are handled professionally and efficiently.


The role also supports departmental operations including reporting, event coordination, payment and procurement processes, record management, and coordination with internal departments to ensure smooth daily operations.



Main Responsibilities


1. Customer Service & Student Support


• Handle and monitor customer complaints, feedback, and service-related issues professionally and ensure appropriate follow-up until resolution.

• Liaise with relevant departments to resolve student and customer issues efficiently and within the required service timelines.

• Escalate complex or sensitive cases to the appropriate manager or department when required.

• Maintain a professional and customer-focused approach when dealing with students, parents, agents, and other stakeholders. 

• Gather customer feedback and identify recurring issues or service gaps for management review.


2. Administrative & Reporting Management


• Prepare, update, and maintain departmental reports, records, trackers, and documentation as required by management.

• Maintain accurate records of enquiries, applications, registrations, events, payments, procurement, staff administration, and other departmental activities.

• Monitor and maintain the department's event calendar, activity schedules, and related records.

• Ensure proper filing, documentation, version control, and retrieval of departmental records.

• Maintain confidentiality and ensure that sensitive student, staff, financial, and departmental information is handled appropriately.


3. Event & Operational Coordination


• Support the administrative coordination of roadshows, education fairs, Open Days, campus events, and other recruitment activities.

• Coordinate event requirements including venues, refreshments, travel, accommodation, materials, and other operational arrangements.

• Maintain event documentation, reports, photographs, invoices, and supporting documents.

• Coordinate meetings, campus visits, agent visits, and other departmental activities.


4. Payment, Procurement & Budget Support


• Coordinate administrative requirements for departmental payments, claims, commissions, events, travel, and other approved expenses.

• Assist with procurement processes, including quotations, purchase requests, invoices, and supporting documents.

• Maintain payment, procurement, and budget records and follow up on outstanding matters.

• Liaise with Finance, Procurement, vendors, and other relevant departments when required.


5. Staff & General Administration


• Maintain staff records, attendance, leave, and other administrative information.

• Coordinate staff requirements such as business cards, staff IDs, equipment, email accounts, and other work-related resources.

• Support HR and IT-related administrative matters, including staff onboarding and other staff movements.

• Maintain marketing materials, stationery, and departmental inventory.

• Provide general administrative support and perform other duties assigned by management.



Qualifications

• Minimum Diploma or Bachelor's Degree in Business Administration, Management, Customer Service, Marketing, or a related field.

• Minimum 2 years of relevant experience in administration, customer service, education, student services, or a similar role.

• Strong administrative, organizational, communication, and interpersonal skills.

• Good customer service and problem-solving skills.

• Good command of spoken and written English and Bahasa Malaysia.

• Proficient in Microsoft Office, particularly Excel, Word, and PowerPoint.

• Proactive, organized, detail-oriented, customer-focused, and able to work under pressure.

• Willing to work on weekends or outside normal working hours when required for events and peak recruitment periods.
