We are seeking a detail-oriented and proactive Assistant Project Manger to support ongoing business operations, project coordination, and IPO preparation activities.

This role will work closely with senior management to ensure smooth execution of projects, timely documentation, and effective cross-department coordination, especially during the company’s IPO preparation phase.

Key Responsibilities:

1. Project & IPO Coordination

Assist in coordinating IPO-related documentation and submission tracking

Maintain IPO / audit / legal / consultant data room organization

Track progress of IPO workstreams and follow up on outstanding items

Coordinate between internal departments and external advisors (auditors, lawyers, consultants)

2. Project Monitoring & Tracking

Maintain project tracker for tender, claim, costing, and operational projects

Monitor project timelines and highlight delays or risks to management

Update progress status across departments regularly

Ensure all project-related documentation is properly recorded and filed

3. Tender, Claim & Costing Support

Assist in preparation and compilation of tender documentation

Support project claim submission and follow-up with relevant stakeholders

Assist in updating project costing and budget tracking sheets

Ensure all supporting documents are complete and properly archived

4. Cross-Department Coordination

Liaise with finance, operations, procurement, HR, and project teams

Follow up on management requests and ensure timely completion

Assist in coordinating meetings, agendas, and minutes of meeting (MOM)

5. Documentation & Reporting

Prepare and maintain management reports, trackers, and summaries

Ensure proper filing system (digital & physical) for all corporate documents

Assist in preparing presentation materials for management review

Maintain version control for key documents

Requirements:

Diploma or Degree in Business Administration, Management, Accounting, or related field

Strong Microsoft Excel and document management skills

Good communication and coordination skills

Detail-oriented and able to follow up independently

Able to handle multiple tasks and deadlines in a fast-paced environment

Added Advantage:

Experience in project-based environment (construction / engineering / commercial)

Exposure to tender, contract, claim, or costing processes

Experience in audit, IPO, or corporate reporting environment

Familiar with working with management or senior stakeholders

We are looking for someone who is:

Comfortable working under pressure and tight deadlines

Able to work independently with minimal supervision

Pay: RM7,000.00 - RM10,000.00 per month
