Job Description

Responsibilities

Responsible for ensuring the smooth day-to-day operations of the office by providing comprehensive administrative, documentation, and coordination support across departments.

  • Oversee and maintain office supplies, equipment, and facilities to ensure a clean, organized, and productive working environment.

  • Manage all incoming and outgoing correspondence — including emails, letters, phone calls, and messages — in a timely and professional manner.

  • Serve as a liaison between clients and internal teams to facilitate effective communication, coordinate documentation, and support administrative matters.

  • Coordinate with clients and suppliers to prepare, issue, and manage commercial documents including sales invoices, purchase invoices, purchase orders, delivery orders, credit notes, debit notes, and related records.

  • Perform accurate data entry for finance and HR-related records using SQL Accounting and SQL Payroll, including updating, verifying, and maintaining data integrity across both systems.

  • Maintain an organized document management system encompassing scanning, photocopying, physical filing, and digital archiving to ensure records are accurate, accessible, and audit-ready.

  • Receive, record, and dispatch documents, parcels, and deliveries in accordance with company procedures.

  • Manage the application, renewal, and upkeep of company licenses, permits, and other regulatory requirements to ensure full and timely compliance.

  • Undertake any other administrative or ad-hoc duties as assigned by the superior from time to time, demonstrating flexibility and a proactive approach to supporting operational needs

Requirements

  • Diploma or Degree in Business Administration, Management, or a related field

  • Fresh graduates are welcome to apply

  • Proficiency in Microsoft Office (Word, Excel, Outlook)

  • Familiarity with SQL Accounting and SQL Payroll is an advantage

  • Good communication and organizational skills

  • Able to work independently and as part of a team
