Requirements
Minimum Diploma or Bachelor’s Degree in Human Resource Management, Business Administration, or related field
Minimum 3 years of experience in HR operations, HR administration, payroll support, or employee records management
Experience in logistics, manufacturing, or other operational industries is an advantage
Familiarity with attendance systems, payroll processes, or HRIS systems is an added advantage
Strong attention to detail and high level of accuracy in data handling
Good communication and coordination skills
Able to work in a fast-paced operational environment with multiple priorities
Proficient in Microsoft Office (especially Excel and Word)
Mandarin ability is an added advantage

We are a fast-growing supply-chain company specializing in bulk cement trading and distribution across Peninsular Malaysia. Backed by an expanding fleet, in-house workshop operations, and a workforce of over 200 employees—including drivers, technicians, operational staff, and office teams—we are strengthening our HR foundation to support continued business growth.
As we expand, we are looking for a dedicated and detail-oriented HR Officer to join our Human Resources team.
This role plays a key support function across day-to-day HR operations, including maintaining employee records, assisting in recruitment and onboarding, monitoring attendance and payroll data, and ensuring accurate HR documentation and reporting.
You will be working closely with the HR team to support the full employee lifecycle and ensure smooth HR administration across a fast-paced operational environment.

Key Responsibilities
1. HR Administration & Employee Records
Maintain and update employee personal files and HR database accurately and consistently
Prepare HR documentation including offer letters, confirmation letters, promotion letters, transfer letters, and other employment-related documents
Ensure proper filing, record-keeping, and confidentiality of employee information
Track probation periods, contract expiry dates, and renewal schedules for all employees
2. Attendance & Payroll Support
Monitor and update employee attendance, leave, overtime, and related records
Assist in preparing monthly payroll inputs by ensuring attendance data accuracy
Coordinate with supervisors and departments to resolve attendance discrepancies
Ensure timely submission of HR data for payroll processing purposes
3. Recruitment Coordination & Onboarding Support
Assist in job posting, candidate screening coordination, and interview scheduling
Communicate with candidates and arrange interview logistics
Prepare onboarding documents and support administrative onboarding processes
Assist in smooth induction arrangements for new employees across all departments
4. Driver Contract & Documentation Support
Monitor driver contract expiry dates and support renewal tracking processes
Ensure all driver employment files are complete, updated, and compliant
Assist in obtaining necessary employee acknowledgements and documentation for HR records
Support HR in ensuring all employees, especially drivers, have valid employment documentation
5. HR Reporting & Support
Prepare basic HR reports including attendance summaries, manpower updates, leave reports, and workforce statistics
Maintain accuracy of HR system data and support regular updates
Provide administrative support to HR Manager and Senior HR Executive in HR-related tasks and projects
